Job Description

Secretary to the Superintendent Schools

  • Prepares correspondence, memoranda, reports, minutes and proceeding of meetings, conferences, and other material relating to a specialized, confidential or technical field;
  • Composes and prepares routine correspondence and reports dealing with well-defined administrative activities;
  • Reads and routes supervisor's mail -- handling items/inquiries when possible and referring those items that can be delegated;
  • Responds to a wide variety of inquiries, concerns and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel;
  • Locates and attaches appropriate information to correspondence to be answered by supervisor;
  • Proofreads typewritten materials for sense, and consistency as well as for spelling, grammar and punctuation;
  • Schedules conferences, meetings ensuring all parties are contacted and any scheduling conflicts resolved;
  • Makes necessary travel arrangements securing tickets when appropriate;
  • Maintains and establishes confidential files and general office files;
  • Acts as receptionist for administrator, greeting visitors and scheduling appointments;
  • Work as part of collaborative Central Office team;
  • Exemplify the core beliefs of the district in all dealings with internal and external stakeholders;
  • Work closely with the Superintendent to coordinate and manage all work that flows through the office in an effective and efficient manner:
  • Completes other duties as assigned.

District Clerk

  • Records proceedings of all meetings of voters;
  • Gives notice of the time and place of district meetings;
  • Attends all meetings of the Board of Education and keeps a record of their proceedings;
  • Reads incoming correspondence to Board and distributes copies for Board members;
  • Prepares, types, reproduces, and distributes agenda for meeting;
  • Responsible for making physical arrangements for rooms, chairs, lights and other materials or equipment needed for meetings;
  • Arranges for voting machines or ballots and ballot boxes needed for polling places;
  • Arranges for publicity of legal notices after consultation with the attorney for the district.
  • Prepares various annual and periodical reports of District activities;
  • Keeps and preserves all records, books and papers of the District;
  • Does typing work as to meetings of Board, replies to correspondence reports, and other data concerned with clerical and administrative duties of the position;
  • Keeps such accounting forms and adheres to accounting procedures as required by the Commissioner of Education;
  • Work as part of collaborative team;
  • Exemplify the core beliefs of the district in all dealings with internal and external stakeholders;
  • Completes other duties as assigned.

Secretary to the Superintendent Schools

5-7 years office secretarial experience or office management experience

 

District Clerk

5-7 years office secretarial experience or office management experience.
